Poliview is operated by Poliview Limited, a company registered in England and Wales (Company Number 17178278). In this policy, "Poliview", "we", "us" and "our" refer to Poliview Limited.

2. What information we collect
Information you give us directly
- Your name and work email address when you register interest or contact us
- Your school name and your role within the school
- Any information you include when emailing us or submitting a contact form
Information collected when you use the Poliview platform
- Account credentials (email address and encrypted password)
- School and organisational details you enter during setup
- Policy documents and content you upload or create within the platform
- Audit trail data — who created, reviewed or approved each policy and when
- User activity logs within your school's account
Information collected automatically
- IP address and browser/device type when you visit our website
- Pages visited, time on site and referral source (via Google Analytics)
- Cookies — see Section 8 for details
3. How we use your information
We use the information we collect to:
- Provide and maintain the Poliview platform and your account
- Send you updates about your account or the service (including launch notifications if you have registered interest)
- Respond to your emails and support requests
- Improve the platform based on how it is used
- Meet our legal obligations
- Detect and prevent fraud or misuse
We do not use your data for advertising. We do not sell your data to third parties.
4. Legal basis for processing (UK GDPR)
We process your personal data on the following legal bases:
- Contract performance — to provide the service you have signed up for
- Legitimate interests — to improve the platform, prevent fraud and communicate service updates
- Consent — for marketing emails, where you have opted in (you can withdraw consent at any time)
- Legal obligation — where required by law
5. Who we share your data with
We share data with a small number of trusted third-party providers who help us operate the service. All processors are bound by data processing agreements and handle data only on our instructions.
- Hosting and infrastructure — Vercel Inc. (website hosting); our application infrastructure provider
- Form processing — Formspree Inc. (for interest registration forms)
- Analytics — Google Analytics (anonymised usage data)
- Email — our email provider for transactional and service communications
We do not share your data with any other third parties without your explicit consent, unless required by law.
6. International transfers
Some of our third-party providers may process data outside the UK or European Economic Area. Where this occurs, we ensure appropriate safeguards are in place — including Standard Contractual Clauses or reliance on adequacy decisions — to protect your data to the same standard as required under UK GDPR.
7. How long we keep your data
- Interest registration data — retained until you ask to be removed or 24 months from registration, whichever is sooner
- Account and platform data — retained for the duration of your subscription and for up to 90 days after cancellation, during which you can export your data
- Audit logs — retained for 7 years to meet legal and compliance requirements
- Analytics data — retained in accordance with Google Analytics default retention settings (26 months)

Our website uses the following cookies:
- Essential cookies — required for the website to function correctly
- Analytics cookies — Google Analytics cookies (_ga, _gid) that help us understand how visitors use the site. This data is anonymised and does not personally identify you.
You can disable analytics cookies by using a browser extension such as the Google Analytics Opt-out Browser Add-on or by adjusting your browser settings.
9. Your rights
Under UK GDPR, you have the following rights in relation to your personal data:

To exercise any of these rights, email us at hello@poliview.app. We will respond within 30 days. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
10. Security
We take data security seriously. We use industry-standard measures to protect your data including encrypted connections (HTTPS), access controls, and regular security reviews. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
In the event of a data breach that is likely to affect your rights and freedoms, we will notify you and the ICO as required by law.
11. Children's data
Poliview is a platform for schools and school staff. We do not knowingly collect personal data from children under the age of 13. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
Schools using Poliview are responsible for ensuring their use of the platform complies with applicable laws regarding any data relating to pupils or minors.
12. Changes to this policy
We may update this policy from time to time. When we do, we will update the "Last updated" date at the top of this page and, where changes are significant, notify active users by email. Your continued use of the platform after changes have been posted constitutes your acceptance of the updated policy.
